Vistaprint is seeking an Executive Assistant to support our Executive Team to be based in either our Munich or Barcelona office.

In this newly created highly visible role, you will be the right hand for 2 of our executive team members and support them with scheduling, travel arrangements, and support proactively and diligently their day-to-day business.

You will help to set up meetings, video conferences, drive written communications (English and German), and edit texts and presentations.

You will radiate positivity, care about the wider team, and give everyone a sense of belonging As our EVPs are often on the road , you act as self-standing interface to their global teams and you are able to make decisions with limited guidance.

This position reports into the EVP & Chief Data Officer.

What You Will Do :

  • Daily calendar management for executives as well as meeting planning for members of their teams, including extensive multi-location global meeting arrangement.
  • Schedule and manage domestic and international travel arrangements according to company travel policy; able to handle complexity which may arise from regular changes to travel plans, last minute requirement or changes, etc.
  • Support the EVPs in their internal communication incl. creating / editing memos and presentations
  • Managing team and department off-sites as well as all logistics.
  • Maintain primary responsible for submitting expenses from VET member while following an established expense reporting process.
  • Collaboration with other (executive) assistants throughout the entire organization.
  • Prepare, modify and produce presentations, reports, letters, and memorandums.
  • Answer phones, manage voicemail and appropriately respond to external calls
  • In case of Munich location
  • Point of contact for all site lead office related activities and initiatives (in case of Munich).
  • Management of employee badges, access rights, and visitor as needed
  • Supporting HR with local activities, i.e. coordinating candidates’ interviews, knowledge base updates, record keeping.
  • Collaborate and communicate with other internal teams i.e. real state, HR, IT support.
  • Prepare for internal & external visitor and employee related meetings / events
  • Coordinate and handle courier services and offices supplies as needed (shipping & receiving)
  • Your Qualifications :

  • Administrative, travel-industry, hospitality or a recreation related background
  • 3+ years’ experience of Executive Administration experience, experience of supporting Vice Presidents, Directors preferred
  • Detail oriented, passionate self-starter with judgment, curiosity, and a desire to build on existing skills
  • A process and analytically focused approach, with the highest attention to detail to proactively anticipate and resolve / coordinate issues.
  • Excellent verbal & written English & German communication skills
  • Excellent organization and time management skills, including the coordination of sophisticated global executive agendas
  • Experience and discretion working with highly confidential and / or sensitive materials is crucial.
