We are seeking an Office Coordinator for Barcelona. The role is a part-time job (20 hours per week) and working from the Dolby Barcelona office.

Main responsibilities :

  • Coordinate the maintenance and cleaning of the office (e.g. arrange maintenance for broken things, communicate needs to cleaning service).
  • Manage building badges and Dolby badges for new employees and visitors.
  • Make sure that the office is tidy and nag employees that need to clean up their desk / stuff.
  • Order and organize office and kitchen supplies.
  • Be in permanent contact with Dolby’s facilities dept (GWS) and act like the person-on-the ground for them.
  • Be the landlord contact for the office for day-to-day topics. These topics include security protocols, announcements, and building maintenance.
  • Receive and ship office mail and packages.
  • Answer the office phone and door intercom (when available).
  • Process payments for the different businesses in the office via the Coupa system and enter new vendors in the system. Liaise with procurement and finances when necessary.
  • Coordinate office on-site and off-site events.
  • Organize storage rooms including IT equipment.
  • Prepare desks for new hires and visitors and prepare meeting rooms for important meetings.
  • Coordinate any office related services such as health checks, security, and ergonomic training, etc.
  • Liaise with IT for delivery of equipment and coordinate hardware maintenance.
  • Main skills :

  • Knowledge of administrative procedures.
  • Languages : Excellent English, Spanish, and Catalan, both oral and written.
  • Excellent interpersonal communication skills.
  • The candidate needs to be assertive, able to follow up tasks and able to persuade people to do what needs to be done.
  • Autonomy and self-organization.
