We are looking for an experienced Factory Assistant to support the Factory Director & Senior Management to create an optimised organization and business agenda including all related activities in the factory.
You will provide administrative support and manage multiple activities and projects involved in factory operations. You will be working with Managers at all levels in multiple geographies.
You will provide correct functioning of facilities through continuous inspection and maintenance to appropriate standards.
This is a full time position based in Arganda Del Rey, Spain.
What You Will Do
As Factory Assistant, you will :
Support Factory Operations in compliance with Tetra Pak's Code of Business Conduct, Core Values, Policies & Procedures, applicable laws and legal requirements.
Implement appropriate controls to secure early detection of any potential non-compliance
Ensure corrective functioning of all facilities and areas (lightning, washroom, heating, cooling, fire extinguishers, etc.)
Maintain facilities to appropriate standards, inspect regularly (office status, meeting rooms, wi-fi)
Manage administrative tasks at senior management level and actively organize scheduling needs in calendar
Plan, organize, coordinate and support execution of management meetings, organizational meetings, events, and similar factory activities
Perform general office support
Prepare documents for external and internal communications, if needed
Manage travel planning and administration, support visa requirement procedures, manage accommodation reservations, transport bookings
Provide finance / cost support, make settlements of expenses
Keep contact with agencies related to temporary employees and work
Collaborate across all departments and units, at all levels
Who You Are
We believe that you have :
BA degree or High School Degree or equivalent education
Minimum 3-5 years of experience in similar role supporting the top management of Factory in manufacturing industry
Knowledge of Safety legislation, work environment and security, compliance is a must
Exceptional organizational abilities is a must
Outstanding interpersonal and communication skills both in English, Spanish fluently is a must
Confident user of MS Office tools (Word, PowerPoint, Outlook, Excel) is a must
Experienced using Virtual collaboration tools (Microsoft Teams, Webex, Jabber)
Proactive and flexible
Ability to meet deadlines and prioritize
Problem solving attitude with a can do approach
Attention to details
Ability to work independently and also as part of a team
