The Opportunity :

Mattel is seeking to hire a Business Support Coordinator supporting to the Iberia leadership team through project management activities for a great variety of projects.

The person will also be supporting the Managing Director for Iberia regarding administrative tasks, as well as take over for facility and community management.

Purpose Of The Position

Your key responsibilities will be around

  • Project management & coordination :
  • Manage the presentation material for business plans, quarterly market reviews, functional EMEA reviews, Iberia off-sites and townhalls.
  • Prepare, manage agenda and organize team meetings, including the weekly leadership team meeting.
  • Contribute to, coordinate, and follow up on projects and initiatives supporting the managing director and its team.
  • Liaise with Iberia Leadership Team members to support Market-wide projects and initiatives (e.g. employee engagement action plan).
  • Creation and upkeeping of presentations, strategic documents, workshop preparations and follow up on meeting actions.
  • Prepare analysis, consolidate executive summaries, decision templates and craft executive briefing documents and act as internal consultant.
  • Proactively follow up and manage milestones, deliverables, actions, minutes, legal requirements and next steps.
  • Facility and community management :
  • Manages negotiations and acts as company liaison with suppliers (e.g. office suppliers, company mobile phones, printers, cleaning company, repair, etc.).
  • Orders stationery and office supplies.
  • Invoice verification and account assignment.
  • First point of contact for landlord and suppliers relating to the office.
  • Negotiates terms, conditions and rates for travel, hotels and travel agencies for the Iberia markets.
  • Management of Company Car Fleet.
  • Engage with local community to promote Mattel as local partner (hotels, leisure centers, office neighbors, etc.).
  • Managing Director support :
  • Assisting the managing director in the day-to-day business.
  • Manages the filing of the Iberia entity and its managing director.
  • Planning, coordination and organization of internal and external meetings.
  • Coordinates and manages managing director’s business trips and ELT visits (including agenda, travel and transport, accommodation, restaurants, client visits, etc.).
  • Office management (e.g., managing office budgets, coordination and communication with internal and external stakeholders).
  • Qualifications

    What We're Looking For

  • Bachelor’s in Business Administration or similar.
  • 2+ years of experience in Business Analysis, Consulting or a Business Strategy / Insights based role.
  • Effective and outgoing communication and presentation skills.
  • Ability to work and communicate with stakeholders at different levels of the organization.
  • Analysis skills, able to analyze data and provide insights.
  • Project management skills.
  • Learning agility & creativity.
  • Organizational skills, attention to detail & adaptability.
  • Dealing with ambiguity & resilience.
  • Curiosity and eager to challenge the status quo.

  • Fluent in written & spoken English & Spanish.
