We are looking for an Executive Assistant to join our Ops team. As an Executive Assistant, you will perform a variety of administrative tasks and support Rebeca Minguela, Clarity AI’s CEO.

LOCATION : Madrid or NY are preferred locations, remote is an option.

KEY RESPONSIBILITIES :

  • Assist the CEO with daily administrative duties and completing a broad variety of administrative tasks, including include managing an active calendar of appointments;
  • completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas;
  • preparing briefings or compiling documents for meetings.

  • Communicates with the general staff on the CEO’s behalf and coordinates logistics with high-level meetings both internally and externally.
  • Coordinates meetings and strategic activities with the Senior Leadership Team, The Management Team (TMG), and members of PRB staff.

  • Communicates directly and on behalf of the CEO with Board members, donors, foundation staff, and others on matters related to programmatic initiatives as directed.
  • Drafts reports, letters of solicitation, proposals; prepares and coordinates oral and written communication with different interlocutors.
  • Supports CEO in her external commitments related to PRB, including service on external boards, committees and other groups.
  • Support in prioritizing different types of tasks and coordinate deadlines, consistently staying up to date on task management and communicate effectively around priorities
  • Calendar management : manage our CEO’s calendar based closely on key priorities and deadlines, and maintain it up to date in a fast-paced environment
  • Ensure all meetings are effective and a success, by setting clear agendas, preparing briefings, flagging conflicts, drafting follow-up emails, keeping records, etc.
  • Inbox management : transcribe / prepare emails for the CEO, process emails and indicate priority to enable better inbox management, flag any urgent emails that the CEO might have not seen yet and clear unnecessary noise, identify new opportunities for the Company based on input gathered from inbox monitoring, etc.
  • Manage the CEOs contact database, keep it up to date and update contact existing information as required
  • Any other responsibilities that might arise while performing this job
  • Requirements

    WHAT WE ARE LOOKING FOR :

  • Deeply ingrained desire to help, someone who feels personally rewarded from being able to help others
  • At least 5 years of experience working in high-velocity environments, looking to become a long-term partner for our Executive Team
  • Previous experience working with CEO, and ability to operate in a changing environment and adjust quickly to the needs of the team / person they support
  • Fluent in English and Spanish, knowledge of other languages and international customs is an asset; additional languages are helpful.
  • Commitment to growing in the role and within the Company, and alignment with Clarity AI’s mission, vision and values. Ability to learn, flexible and open to be out of the comfort zone
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, etc
  • Ability to conduct research and present data in a succinct and well-written manner.
  • Ability to work independently and with professional discretion, generally trustworthy and reliable when dealing with personal or sensitive information
  • Excellent writing, editing, grammatical and organizational skills.
  • Excellent management, time-management, and problem-solving skills.
  • Proficiency in Windows, including MS Word, EXCEL and PowerPoint; fund-raising data management systems knowledge helpful.
