The Site Manager maintains and manages all aspects of site preparation to meet Elekta product requirements within established policies and guidelines for Linac, MR-Linac, MEG, Gamma Knife, Oncology Information Systems (OIS) and Brachy products.
This involves communicating and coordinating pre-installation knowledge to the Customer and / or Distributor to ensure that all site readiness requirements are met prior to delivery of designated equipment.
This position requires extensive project management and customer interaction skills to ensure internal and external customer satisfaction.
This position warrants the highest level of professional representation between the customer and the Company as well as the undivided support of projects, programs and policies established by Elekta.
The Site Manager works with a Project Manager in a team concept.
The position is based in Madrid, Spain, the job holder will need to possess Spanish & English language skills (Fluent)
Site Managers are responsible for supporting and furthering customer / distributor implementations of their assigned Elekta products as per established procedures, as well as documenting and communicating the status of such implementations, and constantly seeking ways to improve processes.
Interface with Customer and Distributors Architectural and Engineering firms to ensure accurate interpretation of Elekta equipment specifications and requirements
Attend coordination and construction meetings as required
Work with the Sales Organization to provide guidance and assistance when required
Perform on-site inspections to ensure compliance with site readiness requirements and report the results to the project team
Regularly report and review the status of customer problems and issues to Project Manager and wider team
Review and produce / coordinate the production of site-specific drawings
Accountable to stay within budget guidelines
Provide information to support the tracking of project KPIs
Responsible for identifying organizational improvements and supporting the project team in implementing changes
Participate in project planning calls to provide updates on projects in respective areas
Coordinate training and clinical start-up requirements with the Project Manager
Update Elekta Systems (e.g. CLM) with the project planning data to allow forecasting of revenue
Primary source of information relating to site suitability for customers and Company staff
Keep accurate records of customer correspondence and communication - completing required paperwork and adhering to company policies and procedures
Keep all company assets and leased equipment in good working condition ensuring these are serviced and calibrated as required
To ensure that all support performed by Elekta staff and representatives is performed in accordance with the local laws and regulations
Perform other related duties as assigned or requested
Incorporates Elekta Values into all department functions and responsibilities
Engineering Support : Review and contribute to product-specific engineering documentation
Customer / Distributor Documentation : Generate, edit and maintain product-specific documentation distributed as part of implementation and process (e.
g. checklists, feature notes, technical references, interface specifications, help files etc.)
Customized Documentation : As necessary, project plans and materials to help forward the implementation process
Customer Proposals : Generate or assist in the generation of proposals that outline Elekta’s standard implementation process or propose alternative solutions to meet customer requirements.
Relevant Knowledge, skills and competencies
Minimum BS Degree or equivalent experience
Experience in managing projects in a high-tech or construction environment
Demonstrated effective project management skills
Demonstrated excellence in written and verbal communication skills
Ability to read architectural drawings
Competent in the majority of Microsoft applications
Basic Auto Cad software knowledge for reading / interpreting drawings
Basic knowledge of radiation protection regulations
Good English written and verbal communication skills
Demonstrated ability to accomplish objectives with and through others without direct control
Full, clean driving license
Ability to travel (domestically and internationally) up to 75-85% of the time
