Job Requisition ID # 20WD41319 Position Overview Acts as primary point of contact for visitors within the company. Received and directs people, calls, issues and deliveries to the appropriate department or employee.

Supports personnel that provide basic clerical support in a variety of administrative settings. Performs all work with the primary goal of customer satisfaction.

Maintains a diligent sense of safety and security for company sites. This position reports to the Facilities Manager. Responsibilities + Maintain professional appearance of building lobby or reception area + Answer and assist customers inquiring about Company technical support policy + Receive and route all deliveries to front desk.

Interact with vendors, couriers and delivery personnel. Contact appropriate employees to accept deliveries. + Report building issues to Facilities Department + Manage key card and photo id system for the building including issuing visitor cards and tracking of same.

  • Responsibility for mail sorting and distribution, shipping and or courier services (incoming / outgoing). Maintain and distribute reception materials + Expense allocation relating to couriers to various departments.
  • Manage conference room booking system and room set up, where required + Maintain meeting room usage metrics and up to date headcount document including phone visitor metrics + Management of catering orders and deliveries for meetings, where required.
  • Raise PO's where required in relation to food and beverages, stationery supplies, etc. + Maintain an inventory of all required office supplies, kitchen supplies & equipment and coordinate replacement orders as necessary + Assist or lead new employee onboarding as needed + Act as point of contact in case of an emergency or disaster, coordinating with Facilities staff.
  • Maintain current knowledge base of Company products and information by reading Company News and Sales emails, announcements, and product brochures.
  • Work as additional or backup of front desk. Greet visitors and notify personnel of visitor arrival. Monitor employee and visitor flow in and out of buildings.
  • Maintain security requirements by ensuring visitors sign visitor log and by distributing guest badges + Ensure that unauthorized individuals are not granted access to buildings.

    Ensure that employees are using proper access badges. Alert Security or Facilities staff of any disturbances or potentially dangerous intruders.

    May be trained on alarm systems and provide first level response. + Maintain accurate problem tracking and resolution metrics on internal system including BIM360 Ops Minimum Qualifications + Friendly, professional, pleasant and polite manner + Excellent verbal and written communication, multitasking and organisational skills + Administration and customer service skills + Proven IT / Computer skills Office 365 + The ability to deal with difficult customers, clients and staff members.

  • Fast learner who is eager to learn with an open-minded attitude + Accurate, precise, with high attention to details + Strong teamwork skills and an ability to offer suggestions and improvements to processes + Fluent in Spanish and English Preferred Qualifications + + 2 years' experience in Facilities and experience in a corporate environment + Knowledge of BIM360 Ops, Ariba and Sharepoint At Autodesk, we're building a diverse workplace and an inclusive culture to give more people the chance to imagine, design, and make a better world.
